The Tournament Chair holds ultimate responsibility for the successful planning, execution, and financial oversight of a golf tournament. They act as the central project manager, coordinating between the golf course staff, committees, sponsors, and players.
The core responsibilities of a golf tournament chair are divided into three distinct phases:
1. Pre-Tournament Planning & Logistics
- Venue Coordination: Selects the golf course, negotiates contracts, and coordinates with the head golf professional and food/beverage managers.
- Budget Management: Establishes the tournament budget, sets player registration fees, and tracks all incoming revenue and expenses.
- Committee Oversight: Recruits and manages sub-committees or coordinators for specialized tasks like sponsorships, registrations, and logistics.
- Marketing & Registration: Oversees the creation of promotional materials and manages player registration tracking.
2. Tournament Day Execution
- Central Command: Serves as the primary point of contact for the golf course staff, volunteers, and players to resolve any logistics issues.
- Player Check-In: Oversees the registration desk, distributes player gift bags, and ensures the accurate collection of outstanding fees.
- Rules & Scoring: Partners with the course's PGA professional to establish local rules, handle weather delays, and verify official scoring.
- Awards & Formalities: Leads the post-round ceremony, presents trophies to winners, and publicly thanks sponsors and volunteers.
3. Post-Tournament Wrap-Up
- Financial Reconciliation: Finalizes all tournament accounts, pays outstanding vendor invoices, and calculates the net profit.
- Feedback Collection: Gathers feedback from participants, sponsors, and volunteers to document recommendations for the following year.
- Thank-You Correspondence: Sends formal thank-you letters to all corporate sponsors, donors, and committee volunteers.
